In this episode of The Modern Hairstylist Podcast, Hunter Donia and Jodie Brown are joined by two Mastermind members, Brandy Chavez and Myriam Georges, who share the specific AI systems they’ve built to take the most time-consuming tasks in their businesses completely off their plates. If you’ve ever wished there were two of you, this episode shows you the closest thing to it.
Hunter, Brandy, and Myriam walk through two real-world use cases that go far beyond using AI as a simple chatbot. These are actual workflows that are actively running in their businesses right now, converting leads, managing calendars, and keeping client communication organized without requiring the stylist to be present for every step.
Key Takeaways:
🤖 AI-Powered DM Sales That Convert Without You: Brandy built a repeatable DM conversion system by analyzing her most successful client conversations with AI. She then trained that system to run through a virtual assistant who doesn’t know hair at all, because the AI fills in every gap. Her assistant handles the back-and-forth while Brandy’s voice, methodology, and sales process stay fully intact.
📅 Managing Rescheduling Without the Chaos: Myriam shares how she connected Claude and Quo to reschedule an entire day of appointments in 15 minutes. The AI factored in appointment lengths, prioritized which clients to book first, drafted personalized messages, and even followed up to make sure no one slipped through the cracks.
💬 Outsourcing Sales Without Hiring a Sales Person: Sales has historically been nearly impossible to outsource, especially in a niche service business where so much education and personalization is required. Brandy’s system proves that when you train AI on your own process, you can hand off even the highest-leverage tasks without sacrificing quality or authenticity.
🔗 Using Integrable Tech to Unlock AI’s Full Potential: Hunter breaks down why the tools you choose matter. Softwares that can connect and communicate with AI are what actually allow it to act on your behalf, and this episode shows what that looks like in practice.
🧪 How to Trust the Process Before You Go All In: Both Brandy and Myriam share how they tested their systems before fully handing things off, from duplicating forms before editing to texting themselves first. Building a sandbox before going live is the move, and it’s what makes the difference between trusting your system and second-guessing it.
Why You Should Listen:
These are not theoretical AI tips. Brandy and Myriam are real stylists in Hunter’s Mastermind who built these systems themselves and are actively running them in their businesses today. If you’ve been using AI as a chat tool and nothing more, this episode is the shift in thinking you need to actually get your time back.

Hello, my friend. Welcome back to the Modern Hairstylist Podcast. Oh my God. I always have a special guest on the podcast.
Her name is Jodi Brown, so that's, like, a consistent for me, and it's special every single time. But today is even more special because I have two of my very close, like, amazing, uh, people within our communities, friends of mine, and beautiful business owners, very impressive just women in general, that are going to be joining us and speaking to us about really, really cool things that they've done in their business. These two have figured out how to clone themselves so that way they can get the shit that you have to get done as an independent business owner that is very important done without you actually having to be there, right? Like, how many times have you wished that there was multiples of you so that way one of you could do the laundry and the house chores, one of you could drive the kids to soccer practice and actually spend time there, and one of you could text back all of your clients, clean up the sl- Like, that's literally, like...
That's not actually what's happening, but we'll ta- w- you'll see that's basically what these guys have done- ... for the tasks that are huge and important for their business. And so I'm really excited for them to share their stories and their use cases today. Jodi Brown, how are you doing today?
I am doing great. I am really excited to dig into this, 'cause I think these are just, like, such cool things that you've both been able to do. Um, and I, I just can't wait to hear more about it and learn more. Yeah.
So we have Miriam Georges on the podcast today, and we have Brandy Chavez. And I am going to have you guys introduce yourselves really quickly in just a moment, if that's okay with you. Just say your name, your salon structure, where you're at, whatever else you wanna say, okay? Um, but the reason why we have them on the podcast today is because we're talking about their specific use cases for how they've streamlined stuff with AI in, uh, really advanced ways.
I've been talking about this a lot on the podcast over the past couple weeks about how, like, in today's day and age, just using AI as a chatbot where you're going back and forth with it is such, like, a outdated, non-efficient use of it, in my opinion, for a lot of different things. And I think it's a much smarter as a business owner to figure out how we can actually make this tool do things for you on your behalf, and that's exactly what these two and many of our other mastermind, uh, students have been working on doing. And we're gonna be talking about these two very specific ways that I think are really, really cool. So Brandy, if you don't mind going ahead and introducing yourself, I'd really appreciate it.
So I'm Brandy. I'm from Phoenix, Arizona, and I have a home-based salon. Um, and I specialize in low maintenance, uh, highlights and hard water detox treatments. Period.
Thank you. We're hap- we're happy to have you, Brandy. And how about you, Miriam? Hi.
I'm Miriam. I am based in Orlando, Florida. Um, I am in a salon suite, um, it's part of Salon Lofts, and I specialize in natural hair and color. Period, and does a badass job at it, might I, might I add.
Um, thank you guys for being on the podcast today. So let's start with you, Brandy. So Brandy has gone... Brandy has found success in the growth of her business in a little bit more of, like, an alternative way, I guess.
Or not really an alternative way, but a, a, a way that I feel like a lot of stylists haven't really tapped in, tapped into or haven't really tried much. And it's been, like, a consistent and steady thing for you, Brandy, which I would say are ads, right? Your boosted posts. Yes.
So would you mind... Let's just start with a- Okay, let's just start with that, and share with us a little bit more about your boosted post strategy and how that's been working for you over the past, like, couple years now, right? Yeah, couple years. So essentially, I every month review, like, my best-performing content on my Instagram that addresses a very specific client pain point.
And then I will usually boost two to three reels a month, and then based off which one's performing the be- the best, I kind of slowly turn them off if one's especially performing, um, not so well, I guess. Um, but yeah, that... And my goal with the boosted posts essentially is to get people to follow my page. And then once they follow me, I then send them a, a DM message essentially, like, introducing myself.
Yeah, and like, I must... I just must, like, point out to everybody and share with everybody that this strategy has evolved so much and gotten so much more refined over the years. And, like, the way that we've actually approached it from just, you know, where i- Instagram's, like, begging you with some free credits to boost a post, right? Like, and somebody maybe just, like, may throw some dollars behind a post and hope for the best.
You have been able to figure out, what numbers do I need to look at to know that, uh, that the money that I'm gonna spend on this post will likely not be wasted? You've had to test a lot of things, and you've also evolved to figure out, like, what happens on the back end of these ads. So it's not just like, "Hey, everybody, like, come get your hair done," and then, you know, you hope that they go and find your link and go and book an appointment. We actually now have a more higher, higher conversi- converting strategy that's in place, and it's so beautiful that it's predictable for you at this point, right?
And it's compounding in your, your, uh, your clientele base, et cetera, et cetera. And so the, the strategy itself is really powerful to grow the clientele, but what I found, what I found really, really cool, which is something that we started implementing over this past year, is how we've been able to kind of delegate a little bit of the work that goes into this, um, onto somebody else and something else. And so would you mind sharing a little bit more about that? And ta- so, so start with the, the DM'ing back and forth and, like, what that does and when you started doing that, what you noticed, and what has gotten you to where you are now, and what are you doing now?
Yeah, so I started to, I started DM'ing all new followers, and essentially introducing myself and asking them qualifying questions like, "Are you local?" Kind of, "What are your hair struggles?" And I noticed that a lot of potential clients or leads were opening up about kind of everything they were struggling with. And so that gave me, A, a lot of information to work with.
But I was also noticing that I was able to educate them in the DMs and then convert them to booking an appointment. And over time, I kind of realized a pro- I, you know, using AI or Claude, I was able to kind of analyze the conversations and come up with like a, a repeatable system that I then used to train the AI so that my virtual assistant can take over the DMs and still use my voice, kind of the conversion, or the D- the DM messaging conversion, um, like, s- system that I had figured out. Um, yeah, and it really just took that DM'ing off my plate, because I found that while it was converting leads, it was taking a lot of time just messaging back and forth, and I was kind of starting to dread doing that. And so being able to essentially hand that off to my virtual assistant and know that she was gonna respond, not only in my voice, but using my methodology and also the conversion system that I figured out previous, it was kind of game-changing, honestly.
Very cool, dude. And so had- were you nervous to kind of... Uh, wa- was, was the whole plan in the first place to build the AI agent for you, um, before you started, uh, delegating the back-and-forth DMs? Or did you just allow the virtual assistant to start the DMs, and then you implemented the AI later?
The plan was to create the AI and then offload the task to my virtual assistant. I didn't have the assistant, my virtual assistant doing any- any of that. It was all, I was handling all of it, and so that's why I wanted to find a way to somewhat automate it. Do you feel like you would trust the virtual assistant to do that job, uh, without the assistance of the AI?
No, because my assistant doesn't know my methodology behind the chair. My assistant isn't versed in hair in general, so it would be very difficult for her to kind of do that for me, and for me to feel confident with her kind of speaking on my behalf. Cool. Thank you.
Jodi? Can I... Okay, so basically, I just wanna like re- reword this, um, and just kinda get, make sure I'm following fully. So basically, you had the system that was converting.
You were like, "Okay, I can repeatably convert new clients in the DMs. These are the different things that they're asking." You took that information from those successful conversations, had AI analyze it, and then essentially like replicated your sales process with AI so that your virtual assistant was able to go in and like, is your virtual assistant kind of like interacting with that AI agent to get answers for your people? Like where is, where is that coming in in like the interaction between your virtual assistant and the AI, like, sales tool that you have essentially built from these conversations?
Right, and so, uh, the, the sales process, I guess, that I kind of figured out that was working was, A, introduce myself. The second thing was like a qualifying question asking them if they were local, and then the third question was asking them what their hair struggles were. And then from there, I would educate them about my methodology and kind of work down a process of like, "Do, do you have this in place? Are you doing the, these following things?"
And it kind of worked them through a series of questions that would then convert them to a booking kind of at the end. And so that's where the AI comes in, is talking about the hard water specifically and educating the client on my methodology and like what I've found works. And then they end up coming in to book an appointment. Oh my goodness, so brilliant.
This is so, so, so smart. Have you- Thank you ... found that you ever have to micromanage or that there's any mishappenings or that y- there was things said that you wouldn't have said? Um, I ha- did put in place parameters, um, uh, like within the training of the AI that tell my as- my virtual assistant to talk to me about this.
Like, "Oh, this is something you should get clarity on from Brandi." And then I'll kind of respond back with my answer, and I'm pretty sure she just puts my answer back into the AI and it gives her a response. Very cool. So what I wanna just point out here, why this is so freaking cool, is because normally, like, like you said, like this person is not versed in hair, they're not versed in your niche, right?
So it's like, it's not even just about ha- like somebody who knows hair. It's about somebody who knows this very like not really well-known niche situation, right? With the hard water, uh, detoxes and things like that. And so it's actually very difficult to find a specialized person who you can totally trust to just go back and forth in these DMs.
And so that means that there would have to be a lot of training required, or you would have to find this diamond in the rough who you would also likely have to pay a lot of money in order to Have a high quality person actually going back and forth with these people. Um, where in this case scenario, because you have this training situation that requires barely any of you most of the time, um, uh, uh, uh, you're able to hire a lot less qualified and most likely a lot less expensive labor to do this for you because it's just, you just, it, all, all, all they are acting as is basically somebody who's copying and pasting and clicking buttons, you know? So like anybody could do that, and I think that's v- a, a perfect example of, I, I believe the, the promise of AI that's out there, right? Like the, the companies that are p- are creating this AI, they're promising all of these corporations that like, "Hey, you can reduce your labor a lot or you can take these menial tasks off of your team so that way your team can focus on other things, or things will get done the right way."
Like you are fulfilling that promise, and I think that's very advanced level shit, which is exactly why we wanted you to talk about it today. So very cool. Is there anything else that you wanna ask, Jody? No, I just wanted to say again, like I just think it's so brilliant that, you know, you've taken something that historically is, you know, really difficult to outsource, and that is sales.
Also like Hunter said, very expensive typically- Yeah ... to outsource, and you've been able to create it so that you're not relying on the person necessarily, you're relying on the system, and that's how you're getting reliable results, and I think that's just like next level. So, so brilliant. I appreciate that.
Even, even if you weren't gonna delegate it, like even just to make your own life easier, right? Like I always say like when it can't be automated, at least make it easy for yourself so when you have to do it, you don't even have to think about it. So like let's say that you had to take over your DMs for a, a, a, a week or whatever it may be, you could just throw it back and forth with the AI who already knows what to say and is gonna say the things that, the way that you are gonna say 'cause you trained it, all that stuff, which is really great. And just one last thing I wanna throw in here is that like, like you said, Jody, like sales is, is such a difficult thing to hire for, and it's also one of the highest leverage tasks as, as a business owner.
Like it's literally the thing that is fully 100% making you money. Mm-hmm. And when you're dealing with a little bit more of a higher ticket situation or a more or a less known niche, right? There's more education, there is more personalization a lot of the time that goes into that.
And so to be able to delegate that is really, really beautiful, but a lot of the times it does require a little bit more of that personalization, and it wouldn't be very easy obviously for you to delegate that if you didn't have this situation. So you're very freaking cool, Brandy. We all look up to you, and I hope that this inspires some people today, and I know that it definitely will. Thank you.
All right. Next up we got Miriam. So Miriam, Miriam, so something fun that we do, uh, with our mastermind is every retreat we have all of our members teach a thing. We t- teach a small thing that's unique to them and something that they've been able to hack and figure out for themselves.
And the reason why is because we have such beautiful, brilliant brains who are so experienced, who are innovating and figuring new cool things out every single day, and we had Miriam share a, a topic and lesson with us that just blew us all away, everybody in the room, and that's exactly why we wanted to have Miriam on to speak about it today. So Miriam, tell us how you're utilizing AI in a really cool, innovative way. Oh yeah, sure. I'd be glad to explain.
Uh, thank you for telling me that everyone was blown away. I didn't think um, it would made such an impact, but it helped me so much behind the chair in what I do in the salon that I thought, um, it would be great to share. Um, so I use Quo and Claude together to help me when I need to reschedule clients, um, or adjust my, um, appointment books or message clients that I need to message more than one person at a time. Um, so I had a situation where I needed to reschedule appointments because of a family matter, and, um, I had maybe like five appointments for the day.
And so I connected Quo to Claude, and Claude is already connected to my calendar. Um, so I was able to find new spots in my, um, appointment book where I can possibly put the clients. So it gave me a list of times and days where they could, um, be placed. It also thought about how long their appointments were, so it wasn't just picking days and like, "Okay, this is a empty day.
You can put it there." It actually took into account how long the appointments were, um, and prioritized the ones that I should book first based on like the length of their appointment. Um, and so from there I was able to draft a message of what I wanted the, to tell the clients and offer them the days that I thought would fit for them. And, um, I had Claude send off those messages for me.
Um, so something that would normally would have taken me maybe like a hour to do, it took me about 15 minutes to do. That is amazing, and I still remember the days, like the emotion of being an independent stylist and getting sick or my son getting sick, and just like the sheer dread of having to reschedule those appointments. So I feel like being able to take something like that off of your plate is huge, and that I would, I would guess probably a lot of people have not thought of utilizing AI tools for things like that. So that is really, really amazing.
Yeah, and I, of course like you have to be using the technology that Claude will speak to, right? Like in order to make this happen. And so like Miriam mentioned Quo, so like Quo is a business phone number app, and I always recommend it to our students because it will actually integrate and connect with other things. And as we're moving into this era of AI, like you want to make sure that you are using stuff that actually can speak to AI or other softwares if you truly wanna unlock like the power that is available to you because otherwise you can be very landlocked.
Like, and, and I know that a lot of these booking softwares, like they're trying to create like their all-in-one solutions and trying to make their own little AI situations, and they, it just continuously is just not- Up to par. And Miriam, even though actually Miriam's booking system is not very integratable with other things, she still has an integration to her Google Calendar so that there is a software in which it can be read by AI, right? So I just think that it's really cool how you found that workaround, and that you're taking advantage of the fact that this thing can do things on your behalf, right? Like, that is, again, the flip and the switch that I'm trying to instill in people.
And one of the biggest things, and I think that you mentioned this during your presentation, is you didn't just use it for the initial send, you also used it to keep organized with the follow-ups. Am I correct? Yes, I did. Yeah, I did use it for my follow-up.
So, um, I checked back with Claude to ask it if I got any, um, responses back. Um, also asked it later on that day, did I miss anybody? Is there anybody that I still need to book? Um, and so it would let me know if I still needed to talk to somebody or needed to follow up with someone who needed to, to book the appointment.
So yeah, I did, I did use it to follow up. Dude, I love that. And I, I... When I'm doing, like, bulk tasks, it's just so awesome that it can, like, go back and just find all of the different things for me.
So for example, I will have days full of a ton of calls, and so I'll be like, at the end of the day after all the calls are over, I'll be like, "Okay, Claude, I need you to go through all the transcripts of all of my calls, and I need you to tell me what the hell happened today." "I need you to reconcile this for me and make sure that my to-do list is updated." You know? So I love that you are also not just using it for the initial, but also being able to stay organized with all the communication, because that can be super overwhelming.
Like, I know hairstylists let things like that fall through the cracks all the time, or you may have missed that one message. To be able to stay organized, take care of the follow-up, all just from, like, one control center, you know, which is basically, like, the session that you had with Claude, I just think is really badass, which is why I wanted to share it with everybody today. Is there anything else that you would like to share about it, Miriam? Um, I actually use it normally, like, on a weekly basis, where I'll use Claude to help me manage my text messages or any incoming calls, or even emails that I got, to make sure I didn't miss any clients.
That's badass, dude. Very cool. And Jody, do you have any questions? I just am really impressed.
Like, just, like, it's so cool what each of you have been able to create. And I think it's really also cool for anyone listening to see how far beyond, like, kind of what we think about when we, when it comes to using AI, you can actually go, and how you can use it to get your time back in such a huge way. 'Cause I think that's all, at the end of the day, what we're hoping for, right? And it's like, you know those memes that are like, "I wish that I could get Claude to do my laundry."
Like, I feel like this is the closest thing to that. Like, we get to focus on the things that we enjoy, and use it to take those tasks that maybe we don't wanna be responsible for off our plates. So, so, so cool and impressive. Yeah.
And mind you, I'm not gonna s- you know, spill all Miriam's tea, but Miriam has a very large family, very large responsibilities. And so to, like, it's essential for Miriam to have things that take things off the plate as a business owner, or else the business doesn't get the attention, or the family doesn't get the attention, or most importantly, Miriam herself does not get the attention that, you know, she deserves. And so I just think that in this era in which we have these tools that are available to us that can assist us, like, we should take advantage of them as small business owners, as human beings who are just trying to fucking survive every single day. But it takes somebody actually being, like, willing to trust it, you know?
D- That's, that's one question that I have for, for, for both of you guys. Especially whenever... 'Cause I know, Brandy, I'm sure that you're probably using the connectors and things like that, and, like, having the softwares do things for you. Or, like, having the Claude go in and, like, edit things for you, right?
Like, were you nervous the first time that you had it actually, like, send a text on your behalf, or, like, edit a form for you? Like, at all, Brandy, first? Yes, I was a little bit nervous, and I'm pretty sure I would, like, duplicate forms and then have it, like, fix or edit the duplicated one just in case. But I mean, honestly, I, I love AI, and it's really helped me so much in my business.
So I trust it. Cool. Good stuff. I, that- Yeah ...
that's the advice that I give to everybody is just, like, just, like, make it a, a sandbox, they call it, in, like, in, like, developer, software developer language. Like, create a sandbox so that way you can see what it can do, r- and you can, like, have proof that it's going to do it well. And also h- like, work together with it. Like, ask it questions, make sure that you're on the same page before you actually have it go and do whatever, right?
So, like, Miriam, you had to do a draft first, right? And you had to, like, make sure that it was all good, and then you actually started using it, right? Yeah, and I actually tested the text message before I had it text my clients. I had it text me first to make sure that it came through correctly, it sent it to the right number.
Um, so yeah, but once I saw that it was able to do it, um, then it, it was great. And we said, "Period. Let's get these people rescheduled." I love it.
All right, Jody. Can you... Oh, just the one thing I wanted to add, like, when you were both describing that, like, I feel like it's almost exactly the same as when you bring on, like, a new person, right, into your business. Like, you're gonna, you know, have a little bit more checking in and making sure that everything is going the way that you want it to before you fully, like, trust that outsourcing.
So it seems like it's kind of the same with the, the systems you all have set up, too. I think there's always gonna be that, like, one or two times where you have to make sure that things are working as is, no matter who you're outsourcing to. Yeah, it's a really good point. And they, both of these guys, I know for a fact, like, so they both have had, they've hired actual people to be helping them in their business, but then also they've ha- they've had the AI as well.
And I know that they've taken the responsibility to make sure that- Either whether it be the AI or the person, that there's enough context up front that you're giving them, so that way you are confident that they will have the resources that they need to do a good job. Is that what you were gonna say, Brandy? 100%, yeah. And then I still also check in every so often with the AI and my virtual assistant, like, "Hey, how is everything looking?"
Or, "How are the responses?" Just also as a safeguard. Period. All right.
Do you guys have anything else that you would like to share? Beautiful. Brandy and Miriam, thank you guys so much for being here today. We will, uh, include both Miriam and Brandy's Instagrams and websites in the show notes below, so make sure to go and check them out.
